Create / Send elettronic document

In Sales Invoice, Sales Order, Sales Credit Memo List / Posted Sales Invoice, Posted Sales Order, Posted Sales Credit Memo List you can find the Create / Send Electronic Document function which allows you to create or send electronic documents to the SdI (PA Invoice / B2B Invoice):


By choosing to send the electronic document, the system generates an .Xml file and sends it to IX. In the posted sales invoice list there is the Status field which shows the Status of the electronic document returned by IX.

By choosing to create the electronic document, the system creates an .Xml file that is linked to the invoice header in the Electronic Document Tab:


FieldDescription
Electr. Document TypeSpecifies type of electronic document (TD) to export. This field is initialized by the system according to the predefined logic and can be changed manually if needed. The criteria for determining the value to be proposed in the case of invoice are (in order of priority): 1- Billimg customer correspondent to Self Billed Invoice Customer set in the Outbound setup
2- Payment Term set as advance
3- Default set in the Vat Business Posting Group on the document:
4- TD01 value if none of the above give feedback The only permitted value of credit notes is TD04
File Nameby clicking on the .xml file the system asks if you want to open it with the ministerial style sheet or with an alternative style sheet (which must be preloaded in the Inbound Setup (FTE)).
Statusthe system indicates the status of the electronic document (eg created, creation error, sent, etc.).
Related Documents Dataclick on the field to MANUALLY insert the lines related to the documents and then click “New”. Based on the “Type” selected in the General tab, the corresponding data entry tab will be activated. The other tabs will not be active.
N: B: Related documents are inherited in the case of “Copy Document” and Posting. The archive is not managed. The Tag “DatiFattureCollegate” is exported for the credit memos if the standard field Applies-to Doc. No. in the header is filled. For Return shipment the “NumeroDDT” tag exported in the xml is populated with the External Document No. (if present). For the “DataDDT” tag the document date is used instead of the registration date. It is possible to manually enter N-lines of 250 characters for the “Causale” tag directly from the Related Documents section.

Through style sheets you can view the created .xml file:

NB Some data for the XML file are essential, but are not essential to BC for the posting of the document. The 3 main cases are: VAT Number or Fiscal Code: if the document is posted without VAT Number or Fiscal Code the system allows you to add the data in the customer card and to export the document again with the correct data; Payment method: if the document does not have the payment method, the TAG is added to the generated file which can be populated manually directly in the file; Payment terms: if the document does not have the payment terms, the TAG is added to the generated file which can be populated manually directly in the file;

The invoices generated with this app additional app can be initialized with a specific Electrnic Document Type set in the setup options:


Being the Electronic Doc.Type also present in the sales order header it becomes a grouping criteria available in the billing methods. In this case the system will generate different invoices when the field changes, by initializing the value of type Doc. Electronic invoice with the one retrieved from the orders; if specified in the launch parameters of a default value to be assigned, this will override the one inherited from the order.


Electronic Document Transmission Status

On the Sales Invoice List / Posted Cr. Memo List you can check the STATUS of the electronic document.

This field allows you to monitor the IX-FE status for a document (notifications on conservation are excluded). It is shown, for example, if the document was created, validated, etc.

Clicking on the status field the system opens the OUTBOUND ELECTRONIC DOCUMENT STATUS LOG. From Actions you can, for a specific document, suspend the IX-FE notification update by setting the “Disable Notifications” option.
